Relational Space Coaching
Purpose:
Helping partners and members resolve relational tensions (as opposed to organizational tensions processed through Holacracy structures)Accountabilities:
- Facilitating the creation, periodic review and revision of Athena's social and other relational agreements
- Being a resource for and coaching partners on how to resolve relational tensions
- Facilitating/mediating conflict and relational disagreements

- Aligning company purpose (why), mission (what) and values (how) with all that we do
- Identifying measures for strategies and lines of business, and evaluating their return on investment
- Compiling and sharing relevant industry trends that may inform strategy
- Integrating marketing, equity, organizational, and financial strategy in the overall plan

Account Manager
for Clackamas CountyPurpose:
Professionally representing The Athena Group at all times by strengthening client relationships when generating new business from existing clientsDomains:
- Decisions on escalated project issues
Accountabilities:
- Being curious and interested in learning about the client's industry and cultures
- Identifying other needs the client may have and reaching out to share Athena services or products that may be helpful
- Checking in with the account contact at regular intervals, in person if appropriate and budgeted
- Mitigating and removing project risks and project issues as requested by @Project Manager
- Identifying and posting leads in Pipedrive
- Conducting mid-project check-ins on projects and providing guidance and feedback to @Project Manager and @Project Team Member for projects with a timeline longer than 3 months and a budget of more than $100,000. The mid-project check-in can be completed for other projects as needed.
- Attending all project close-out "lessons learned" meetings within the account, and integrating changes into future trainings, standard work, or company improvements

Pillar Stewards
for Thought Partner - Inner LeadershipPurpose:
Build cohesive teams that deliver quality services and products, and secure purpose aligned business that promotes Leadership Health, Organizational Health, and Community Health.Domains:
- Standard work and policies for services and products in each Pillar
- Decisions on escalated project issues that don't have an @Account Manager
- After conferring with @Project Manager and @Proposal PM, making final decisions whether to withdraw proposals in process if new information or addenda negatively impacts the likelihood to win the contract
Accountabilities:
- Coaching and training relevant Partners and Subcontractors on pillar vision, purpose, services/products, and business development
- Convening relevant Partners and Subcontractors to build relationships, share knowledge, standardize work where necessary, and build business in and across Athena's services and products
- Submitting budget proposals to @Financial Operator for training, subscriptions and conferences, and technology
- Keeping up on industry trends across the Pillars
- Developing and evolving the Pillar services and products and providing new content to @Web Content, @Proposal Library Administrator, @Marketing Strategy, and @Project Manager
- Establishing, tracking and reporting on revenue goals and outcome metrics of the @Pillar Stewards
- Creating specific business development and marketing goals, strategies and objectives across the Pillars in coordination with @Business Development Strategy, @Marketing Strategy, and @Project Manager
- Identifying talent gaps across the Pillars, and recruiting and filling those gaps, in collaboration with @People_Legal_and_Financial, @Enterprise Membership, and @Financial Operator
- Working with @Account Manager, @Project Manager, @Project Team Member making necessary decisions on escalated issues that are not resolved at the project level
- Conducting mid-project check-ins on projects without an @Account Manager and providing guidance and feedback to @Project Manager and @Project Team Member for projects with a timeline longer than 3 months and a budget of more than $100,000. The mid-project check-in can be completed for other projects as needed.
- Attending all project close-out "lessons learned" meetings for projects without an @Account Manager, and integrating changes into future trainings, standard work, or company improvements
- Making decisions for which services and products to market based on return on investment, purpose alignment, and strategic direction in collaboration with @Business Development Strategy and @Marketing Strategy
- Checking PipeDrive daily for identified proposals and moving to lost or qualified.
- Identifying @Proposal PM, @Proposal Quality Assurance, @Project Manager and @Project Coordinator for proposals that will move forward, and reassign the Pipedrive card to @Proposal PM to start the proposal development process.
- Moving proposal opportunities to "lost" if a proposal is not "qualified" or project manager or team cannot be identified in time.
- Creating and updating RFP qualifying criteria based on market changes and business needs
- Facilitating weekly Pipedrive calls, determining which proposal move forward and which do not, and assigning roles to projects.

Project Manager
for 3+ people projectsPurpose:
Professionally representing The Athena Group at all times with excellent project team development and deliveryDomains:
- Changes to scope, budget, team, timeline, tasks, and deliverables
- Establishing team member rates and budget for proposals using current policies and tools set by @Financial Operator
Accountabilities:
- Working with @Proposal PM and @Project Team Member to complete new content for proposals, including scope, schedule, and budget
- Estimating project hours for proposals in coordination with @Project Team Member
- Being the point of contact for the client and managing client expectations if there is not an @Account Manager
- Managing project in all its phases, including Project Initiation, Planning, Execution (Communications, Change, Risk), Monitoring (Quality), and Close Out
- Right-sizing the level of project management to the size of the project
- Tracking client decisions and creating change orders that impact change to scope, schedule, or budget
- Assigning @Project Team Member and adding and removing project team members and communicating the change with client, team @Project Coordinator
- Making sure project risks are mitigated and project issues resolved, and if not, escalating the risk/issue to the Client Sponsor.
- Meeting with clients after every proposal submission to debrief when Athena is not awarded a contract, and communicating the why to Business Development Strategy
- Making sure high quality surveys are delivered in coordination with @Survey Expert
- Filling the role of @Proposal PM and @Project Coordinator, unless a role filler is assigned.
- Ensuring each @Project Team Member is in compliance with Client contractual requirements and restrictions (e.g. lobbying restrictions, invoicing requirements, record retention, etc.)
- Sharing contract amendments and revisions with @Project Team Member while they are in process, and requesting feedback from @Project Team Member before signature.
- Ensuring the closeout process is completed for all clients with a timeline longer than 3 months and a budget of more than $100,000. The closeout process can be completed for other projects as well at the project manager's discretion.
- Sharing Athena's Harm Accountability guide with each new team and reaching out to @Relational Space Coaching for support when needed

Project Team Member
Purpose:
Professionally representing The Athena Group at all times by honoring commitments to the project team and producing quality client deliverables.Accountabilities:
- Completing quality work within scope, schedule and budget as outlined in Work Order or Invoicing Template
- Entering actual and estimated hours into monthly invoice on time and accurately
- Participating in client interviews
- Complying with Client contractual requirements and restrictions (e.g. lobbying restrictions, invoicing requirements, record retention, etc.)
